Key Responsibilities

Client Support

  • Assist with client requests, inquiries, and scheduling meetings
  • Prepare materials, documents, or presentations for client meetings
  • Track client projects, deadlines, and deliverables with guidance
  • Assist with social media posts, content preparation, or campaign tracking
  • Serve as a point of contact for routine client communications, escalating issues as appropriate
  • Proactively identify opportunities for process improvement

Team Support

  • Coordinate schedules, meetings, and project-related appointments
  • Track project tasks, deadlines, and progress for team members
  • Manage project documentation, files, and asset libraries
  • Prepare reports, summaries, or presentations for project updates
  • Provide general administrative or team support
  • Proactively identify ways to streamline and improve processes

Office Support

  • Provide a warm and professional welcome to clients, visitors, and vendors
  • Receive and sign for deliveries, packages, and courier services
  • Assist with creating and managing client contracts
  • Assist with developing and managing proposals
  • Help plan social and team-building activities
  • Event / Meeting Support: set up rooms, handle logistics, and support virtual meetings
  • Monitor the Support Desk Ticket Queue and assign tasks to the appropriate team member

  • Detail-oriented with the ability to follow processes and track multiple tasks

  • Proficiency with project management and office tools (Teamwork, Microsoft Office, Google Workspace)
  • Ability to prioritize competing demands in a fast-paced environment
  • Problem-solving skills and the ability to escalate issues when needed
